Cancellations and Refund Policy
Himalayas are magnificent but unpredictable. Helicopter flights in the Everest region are heavily dependent on factors like sudden weather changes, air traffic congestion, technical issues, and fuel availability. Conditions can shift within minutes from sunny skies to thick clouds, wind, or snow making it unsafe to fly.
At Everest Sky Helicopter Service, safety is our top priority. If your flight is canceled due to weather or unforeseen operational reasons, we provide a full refund with no hidden fees or reschedule for the next morning flights. However, if a traveler voluntarily cancels:
- A cancellation fee of USD $ 100 is applied if the helicopter has not yet taken off.
- If the helicopter is already en route or the cancellation is due to a delay by the client, no refund will be issued.
- Last minute cancellations or changes after boarding or during shuttle coordination will be subject to the same non refundable clause.
We strongly recommend keeping flexible travel dates and allowing extra days in your itinerary when trekking in high altitude regions.
Group Joining vs Private Charter
- Group Joining Flights: Ideal for solo trekkers or small groups looking to share costs. We help coordinate passengers heading in the same direction.
- Private Flights: Best for families, small groups, photographers, or those with tight schedules seeking a direct and personalized flight experience.
Early booking helps ensure availability, especially in peak seasons (March to May and September to November).
Luggage and Weight Limitations
When flying from high-altitude locations like Gorakshep, weight limitations are a critical factor due to the thin air and reduced lift capacity of helicopters. Although the aircraft can accommodate up to five passengers under normal conditions, at altitudes above 5,000 meters, it can safely carry only three passengers plus their baggage, totaling around 220 to 250 kilograms. The actual lifting capacity depends on several factors including wind speed, air temperature, and altitude. For groups of four or five, we implement a shuttle system to maintain safety and efficiency. This involves transporting three passengers from Gorakshep to a lower altitude point at Pheriche (4,371 meters) first, then returning to pick up the remaining one or two trekkers. Once all members have reached Pheriche, the helicopter continues with the entire group to Lukla in a single flight. This system ensures safe operations without compromising group integrity.
Each passenger is generally allowed to carry about 10 to 15 kilograms of luggage, although this may vary depending on the combined body weight of all passengers. Soft duffel bags are highly recommended as they are easier to load into the cargo space. Hard suitcases or large framed bags may be restricted due to limited space inside the helicopter. If your baggage exceeds the permitted weight, you may be required to either leave some items behind, send them via porter, yak, or request cargo transport via an additional helicopter, which will incur extra charges. If you are carrying special gear such as professional camera equipment, trekking poles, or mountaineering tools, please inform our team during the booking process. Advance notice allows us to prepare accordingly and ensures smooth handling on flight day. To avoid unnecessary delays, we strongly advise all passengers to travel light and repack their belongings at Gorakshep before boarding the helicopter.
Weather Considerations and Delays
Weather in the Everest region is famously unpredictable. We monitor it closely, and our experienced pilots only fly under safe conditions. Key notes:
- Flights are scheduled early morning when skies are usually clear.
- Even brief weather disturbances can cause delays or rerouting.
- If one flight is delayed, it may create a ripple effect for the next ones.
- We recommend all passengers to stay calm and patient. We prioritize safety over schedule and promise to fly you as soon as it is safe.
Helicopter Model
Reliable and high altitude tested helicopters, including models like:
- AS350 B3e (Airbus H125) the go to for mountainous flights
- Bell 407 known for stability and comfort
Each aircraft is maintained under strict aviation safety protocols, ensuring smooth performance even in the rugged Himalayan terrain. All helicopters are piloted by licensed experts with years of flying experience in Nepal mountain regions.
Shuttle System
Due to altitude and load restrictions, helicopters often operate on a shuttle system between Gorakshep and Lukla:
- The flight begins at Gorakshep, carrying a few passengers to Pheriche.
- From Pheriche, the helicopter continues to Lukla after managing weight balance.
- The helicopter may return to pick up the remaining trekkers in phases.
This system allows everyone to reach Lukla safely without overloading the aircraft. Shared shuttles reduce cost and enable efficient passenger movement, but may require short waiting periods between legs.
Route Breakdown: Gorakshep to Lukla Helicopter Flight
The helicopter journey from Gorakshep to Lukla is typically divided into two legs: Gorakshep to Pheriche and Pheriche to Lukla, designed to safely manage altitude related limitations. The flight begins at Gorakshep, the final stop before Everest Base Camp. Due to the thin air and reduced lifting capacity at this elevation, helicopters can carry only up to two passengers at a time directly from Gorakshep. If there are more than two passengers, a shuttle service is arranged to maintain safety and load balance.
In such cases, the helicopter first picks up two or three passengers, depending on weight, and flies them to Pheriche, a lower altitude village that serves as a midway point. After dropping off the first group, the helicopter returns to Gorakshep to pick up the remaining passengers. Once all travelers are gathered at Pheriche, the helicopter then flies the entire group together to Lukla, enjoying scenic views of Himalayan peaks, glacial valleys, and suspension bridges along the way. The journey ends at Tenzing Hillary Airport in Lukla, from where trekkers can continue their journey back to Kathmandu or connect with other destinations. This shuttle approach ensures every transfer is safe, efficient, and within flight regulations, especially when operating from such high-altitude locations.
